To report a completed task, say 作業が終わりました (“The work is finished”), then identify the task, version, delivery location, and any check still pending. Ask the receiver to confirm access, and distinguish “submitted,” “reviewed,” and “approved.”

Finished means delivered and findable

Kotoba Works team chat
  1. Leo starts closing his laptop after sending one blank generic completion bubble with no task, version, location, or remaining-check detail.

Leo writes only 'done' in chat and closes his laptop.

    Leo

    終わりました。

    Done.

  2. Maya raises separate question cards while Leo reopens the laptop, showing that the task, version, location, and remaining check are unclear.

Maya cannot tell which task, version, or file location he means.

    Maya

    どのファイルですか。

    Which file?

  3. Leo presents separate report-sheet, version-layer, shared-folder, and coral pending-review pictograms to Maya.

Leo names the report, version, and shared folder and flags one pending data check.

    Leo

    月次報告の完成版を共有フォルダに入れました。数字は確認待ちです。

I put the final monthly report in the shared folder. The figures are awaiting review.

  4. Maya confirms access to the folder while Leo places her blank reviewer marker beside only the pending figure field.

After Maya confirms she can access the file, Leo records who owns the remaining number check.

    Leo

    数字はマヤさんが確認します。

    Maya will review the figures.

Understand the receiver’s response

受け取りました means received, 確認します means they will review, and 承認しました means approved. Do not collapse these states into “accepted.” If corrections arrive, create a new task state and version rather than silently overwriting the delivered file.

Close the loop by updating the tracker, linking the exact result, and archiving or labeling old versions according to team practice. Never mark a task complete solely to improve a status dashboard when required checks remain.

Handle correction requests after delivery

When the receiver says 修正をお願いします, ask which section, expected result, and new deadline. Repeat whether the original task returns to in-progress or a new follow-up task is created. 確認しました may mean “I looked at it,” not “No changes are needed.”

Report the revised result with a version difference: 二ページ目の数字を修正し、v2を同じフォルダに入れました. Do not send another file named only “final” without identifying which version supersedes the earlier one.

If the receiver approves part but not all, state that split explicitly. The work is fully closed only when every required reviewer or acceptance criterion in the task has reached its intended state.

For automated deliveries, save the successful run ID or timestamp and confirm that downstream users received the expected output. “The job ran” and “the result is usable” are separate completion claims.

Close the task with evidence and ownership

  • Name task, state, version, and delivery location.
  • Verify that the receiver can access it.
  • Expose pending checks and owners.
  • Distinguish received, reviewed, and approved.

Connect completion to the earlier request and deadline

A useful completion report answers the questions raised when help and timing were agreed: what is done, where it was delivered, what remains, and who owns the next check. Revisit those earlier conversations to practice the full task arc.

Try the real-world task

Close one work task with a clear completion report.

Ready means:

  • I can say which task is complete.
  • I can identify where the result was delivered.
  • I can understand approval, correction, or another check.
