Confirm changes after the original instruction

If the instruction changes later, do not append a vague “updated.” State which field changed: 締め切りだけ金曜日に変わりました (“Only the deadline changed to Friday”). Link or replace the old action note according to team practice so two active versions do not compete.

Confirmation is complete when both parties can see the same owner, action, object, date, and location. A polite 分かりました without a restatement is not strong evidence when the task is complex or high impact.

Confirm numbers, quantities, and exclusions

Repeat numbers with units: 三件, 三ページ, and 三時 use the reading san, while 三日 is the exception mikka. Ask 三件ですか、三ページですか when audio or context is unclear. For ranges, confirm both ends and whether they are included.

Negative instructions deserve special attention. Distinguish Aは送らないでください (“Do not send A”), Aだけ送ってください (“Send only A”), and Aも送ってください (“Send A too”). Restate the included and excluded items in positive lists: 送るのはBとC、Aは送りません.

For conditional work, state the trigger: 承認されたら送ります (“I will send it after approval”). Confirm who communicates the trigger and where. Otherwise, two people may agree on the action but act at different times.

Escalate contradictions

If two authorized people give conflicting instructions, do not silently choose one. Show both records and ask who resolves the conflict. Preserve the correction in the shared channel so the old instruction no longer appears active.

After resolution, read the final note once more and ask the responsible person to acknowledge it. This turns a spoken correction into shared evidence before work resumes.

Repeat the instruction until ownership is clear

  • Signal that you are confirming, not challenging.
  • Restate all actionable fields.
  • Invite correction and update the note.
  • Remove ambiguity when instructions change.

Use confirmation before asking for help or fixing a deadline

Restating the action, object, owner, and time reveals whether the problem is unclear instruction, blocked work, or schedule risk. Choose the help lesson for a blocked step and the deadline lesson for timing or deliverable uncertainty.
