Check the issued document

Before leaving, compare the name, address, household scope, number of copies, and requested fields with the application. If something differs, say この項目を確認してください (“Please check this field”). Do not post or photograph a certificate publicly; it contains personal information.

If someone else will apply or collect it, ask 代理人でも手続きできますか (“Can a representative complete the procedure?”) and 委任状は必要ですか (“Is a letter of authorization required?”). Do not assume that a family relationship alone is enough. Confirm the municipality’s current identity and authorization rules before sending another person.

When a receiving organization asks for a “recent” certificate, show its written requirement and ask 発行日はいつまでのものですか (“How recent must the issue date be?”). City hall issues the document; the receiving organization defines what it will accept.
