Do not give passwords, PINs, one-time codes, or unnecessary personal data to an incoming caller. If the caller claims to be a bank, police office, delivery company, or public agency and asks for sensitive action, end the call and use a known official number.
Leave or understand a voicemail message
Keep voicemail short: name, organization if relevant, purpose, callback number, and when you can answer. Say the number twice in grouped digits and avoid sensitive case details. End with 折り返しをお願いします only if a callback is actually needed.
When listening, write uncertain parts with a question mark instead of filling them from context. Confirm the caller through a known directory before acting. A recorded voice and familiar organization name do not prove identity.
Handle a dropped call
Agree who calls back: 電話が切れたら、私からかけ直します. If the call drops before confirmation, do not assume the booking, payment, or report completed. Call the verified number and summarize the last confirmed step.
Close politely with では、失礼します, but only after both sides agree on the next action. On the phone, silence can indicate a connection problem rather than consent.
Caller-verification boundary
A caller’s displayed number, uniform, organization name, or recorded voice does not prove identity. The National Police Agency’s current SOS47 fraud guidance and the Financial Services Agency’s cash-card guidance warn against impersonation and disclosure of credentials. End a suspicious call, find the organization’s contact independently, and use its verified channel. For a non-emergency police consultation, the NPA lists #9110. End the call with one confirmed action
- Identify yourself and give one purpose.
- Route the call by person or role.
- Repair names and numbers explicitly.
- Confirm callback ownership and protect sensitive information.
Repair fast audio and confirm the message owner
Phone calls remove pointing and facial cues, so repair language and exact confirmation matter more. Practice asking for slower speech, then reuse workplace confirmation to repeat the name, message, owner, and callback time.
