When a Japanese form is unclear, point to one field and ask この欄が分かりません (“I do not understand this field”). Confirm whose information belongs there, which script and date format to use, and whether the field is required. Copy official names and addresses from the relevant document instead of translating or shortening them from memory.

Words such as 本人, 申請者, 世帯主, 代理人, and 勤務先 identify different people or organizations. Check the label before writing a value.

Do not invent kanji for a foreign name. If a system restricts characters or order, ask staff how that form records the official name and keep a note of the accepted representation.

Copying from a residence card, utility record, or official notice can prevent missing building and room information. Use the source appropriate to that form.

Do not erase, overwrite, stamp, or sign based on another form’s rule. Ask before correcting an official form.

Reuse field-by-field repair at city hall

The same repair strategy—point to one field, ask what belongs there, and confirm the script or order—supports address registration and certificate requests. Keep the form lesson focused on writing; the procedure lessons decide which form and documents are actually required.

Review before handing it over

Read the field label and value as pairs: name–official spelling, address–building and room, date–which event, contact–current number. Ask 記入漏れがありますか (“Is anything missing?”), but do your own check first; staff review does not transfer responsibility for accuracy.

Protect personal information while asking for help. Show the form to authorized staff, cover unrelated account numbers where appropriate, and do not upload an unredacted form to a public translation service. If a field affects legal, tax, health, immigration, or financial rights, request an official explanation or qualified interpreter.
