For a non-emergency apartment repair, state the fixture and observable problem, such as エアコンが動きません (“The air conditioner does not run”). Give the room, when it began, and any visible message. Then confirm who will visit, when they may enter, and whether you must be present.

A repair report needs access details

Leo's apartment
  1. Leo's phone message contains only a whole-room pictogram and broad alert/question symbol while the intact air conditioner remains unidentified behind him.

Leo messages only that the apartment is broken.

    Leo

    部屋が壊れています。

    The room is broken.

  2. Maya and Leo separate air-conditioner, bedroom, previous-day calendar, and blank-display facts on a four-row board.

Maya helps identify the fixture, room, start time, and error display.

    Maya

    何が、どこで、いつから?

    What, where, and since when?

  3. Leo photographs only the intact air conditioner while Maya records the same four factual fields, leaving the display field blank because no code is visible.

Leo sends a concise report with a photo.

    Leo

    寝室のエアコンが昨日から動きません。

The bedroom air conditioner has not run since yesterday.

  4. Leo confirms a selected weekday, afternoon, and home-presence access boundary by phone while the apartment door remains closed and Maya nods.

He confirms the visit window and permission before access.

    Leo

    金曜日の午後、私が家にいる時に来るんですね。

You're coming Friday afternoon while I am home, right?

Confirm the repair scope and handoff

Ask どこを確認しますか (“What will you inspect?”) and どのくらいかかりますか (“About how long will it take?”) when those details affect access. An estimate is not a guarantee, but it helps you arrange attendance. If keys, pets, furniture, or shared equipment affect access, tell the manager before the visit.

After the visit, distinguish 修理が終わりました (“The repair is finished”), 部品を注文します (“We will order a part”), and 原因を確認中です (“We are still checking the cause”). Test only what the technician says is ready, and record any next appointment. If the problem remains, describe the behavior again instead of saying only 直っていません.

Do not agree to an unexplained charge or entry condition because you recognize the vocabulary. Ask 費用について書いてください (“Please write down the cost information”) and compare it with the manager’s documents. The language goal is a clear report and appointment, not deciding contractual responsibility.

Keep the repair ticket or message thread until the problem is closed. Record who visited, what they said was completed, and whether another visit is scheduled. This gives you concrete facts if the same symptom returns and avoids rebuilding the timeline from memory.

Separate repair requests from emergencies and contract questions

For gas smell, fire, major flooding, or immediate danger, stop the routine repair flow and use the relevant emergency channel. Responsibility, permission to enter, charges, and repair obligations depend on the property and contract; confirm them with the manager or appropriate adviser.

Turn the repair report into a scheduled next step

  • Give fixture, location, behavior, start, and scope.
  • Share the exact display or photo without diagnosing.
  • Confirm visit window and who will attend.
  • Make entry permission explicit.

Connect the fault report to utilities and property evidence

If the fault involves a utility or immediate safety instruction, switch to the utility-problem sequence. For a future property, the viewing lesson helps you record equipment condition and questions before they become repair assumptions.

Try the real-world task

Arrange one non-emergency repair with a manager or service provider.

Ready means:

  • I can name the faulty fixture and location.
  • I can say when the problem began.
  • I can confirm access and appointment details.
